Group bookings: Terms and Conditions

Please read the group booking terms and conditions before booking your group visit.

1.    These terms

1.1    These terms and conditions (Terms) apply to the purchase of etickets for educational and other group purposes for Science Museum Group exhibitions, experiences and events (Event(s)) undertaken at:

Science Museum, Exhibition Road, London
Science & Industry Museum, Liverpool Road, Manchester
National Science & Media Museum, Bradford
National Railway Museum, York
Locomotion, Shildon

1.2    We have the right, without liability to you, to refuse to allow you to enter an Event and/or to escort you from our premises if you, in our judgment, breach any of these Terms.

2.    Information about us 

We are the Board of Trustees of the Science Museum Group of Exhibition Road, London SW7 2DD (we, us, our, Science Museum Group). Our registered VAT number is GB 503 5114 96. 

3.    Your eticket(s)

3.1    Etickets are valid only for the Event, the number of person(s) and the date and entry time slot (where applicable) stated upon them.

3.2    During your visit you must retain your etickets for production on demand by our representatives.

3.3    Subject to these Terms, etickets are non-refundable and may not be exchanged.

4.    Payment

4.1    Payment must be made by credit or debit card, unless you are an establishment delivering formal education (nursery, primary, secondary, tertiary and higher education) and making a booking more than 60 days in advance of your visit, in which case you have the option to pay by invoice. 

4.2     The following terms (a) to (d) apply to payments by credit or debit card:

(a)    We accept payment via Mastercard, Visa and Maestro. 

(b)    If you are making a booking 60 or more days in advance of your visit, you may elect to hold your booking and defer payment until the 60 day point. If payment is not made 60 days in advance of your booking, your booking will be cancelled.

(c)    If you are making a booking between 28 and 60 days in advance of your visit, you may elect to hold your booking and defer payment for up to 3 days. If payment is not made within this 3 day window, your booking will be cancelled.

(d)    If your visit is less than 28 days away, you must pay at the point of booking.

4.3    The following terms (a) to (c) apply to payments by invoice:

(a)    Payment by invoice is only available to you if you are an establishment delivering formal education (nursery, primary, secondary, tertiary and higher education), making a booking more than 28 days in advance of your visit.

(b)    If choosing to pay by invoice, you accept that we will levy a £25.00 administration fee for processing the invoice.

(c)    All invoices must be paid in full by the due date on the invoice. If payment is not received, we reserve the right to cancel your booking and you will still be charged.

4.4    Our acceptance of your booking takes place upon us sending you your eticket, at which point the agreement between you and us on these Terms will come into existence.

4.5    If we are unable to accept your order for any reason, we will inform you of this by email and will not charge you for the eticket. This might be because we have identified an error in the price or description of the eticket, for example.

5.    Receiving your eticket

5.1    Once you have paid by credit or debit card, or elected to pay by invoice, you will receive an order confirmation email which will also serve as your eticket. You should read the contents of that email carefully. 

5.2    It is your responsibility to check that the information you have supplied to us in relation to your order is accurate. 

6.    Entry 

6.1    On arrival at the Event for which your eticket is valid, you will be required to show a legible printout of the eticket or an electronic copy on a mobile phone or similar device.

6.2    If you fail to produce your eticket, you will not (subject to our discretion) be admitted to the relevant Event.

6.3    Entry will only be permitted for the number of persons indicated on your eticket. Any additional persons who wish to enter will be required to pay the standard entry rates applicable to the relevant Event, subject to availability.

6.4    Your visit to the Museum and to all Events is at all times subject to any notice to visitors we post on the premises, and our standard admissions guidelines as may be amended from time to time, a copy of which you can read here.  In addition, you and your group must comply with any reasonable instructions given to you by our staff or any third party instructed on our behalf during your visit. 

7.    Supervisory ratios

 For safeguarding purposes, you accept that at all times on our premises you will adhere to the following ratios regarding the minimum number of responsible adults always accompanying the group: 

Age 5 and under – 1:4
Ages 5 to 11 – 1:8
Ages 11 to 16 – 1:10
Ages 16 to 18 – 1:30
Over 18s – 1 responsible adult per group

8.    Cancellations and amendments 

8.1     The following terms (a) and (b) apply to cancellations and amendments by us:

(a)    We reserve the right to alter our advertised arrangements for Events and to cancel any time slot or Event without notice, at our discretion. 

(b)    Should cancellation of an Event (or any part of it) be necessary we will attempt to contact you (by email to the email address provided in your order) in advance to arrange substitute etickets.  Please check your email inbox before travelling to an Event to avoid an unnecessary journey should an Event be cancelled.  If an alternative visit date cannot be arranged, we will refund you the full price paid (plus any transaction fees if applicable) for the relevant etickets.  In order to arrange a refund in such event then please call the Museum on 033 0058 0058.

8.2     The following terms (a) and (b) apply to cancellations and amendments by you:

(a)    You can increase the number of visitors on your eticket at any time, subject to availability and provided that you pay any additional sums which may be charged for the increase by credit or debit card upon changing the booking. You can do this by logging into your online account or calling us on 033 0058 0058.

(b)    For all other changes, including reductions in visitor numbers, date changes or cancellations, the following terms apply: 

i.    If you have chosen to pay by invoice, it will not be possible to change or cancel your booking, and you will remain liable for the full value of the invoice in all circumstances. We are unable to transfer your eticket to another date or reduce the number of visitors on your eticket, and no refund will be available if your group or part of your group is no longer able to attend on the date of the relevant Event. 

ii.     If you have chosen to pay by credit or debit card, and your visit is not due to take place for 28 days or more, you may request to change or cancel your booking by emailing info@sciencemuseumgroup.ac.uk. Your email should include your order number and details of the change or cancellation requested. Any changes to your order are subject to availability. 

iii.    If you have chosen to pay by credit or debit card, and your visit is due to take place in less than 28 days, it will not be possible to change or cancel your booking and you will not be entitled to a refund in any circumstances. We are unable to transfer your eticket to another date or reduce the number of visitors on your eticket, and no refund will be available if your group or part of your group is no longer able to attend on the date of the relevant Event.

8.3    If your journey is delayed on the day of the relevant Event, you should contact us immediately by telephoning 033 0058 0058. We will make every effort to accommodate any late arrivals however this cannot be guaranteed. We do not offer refunds for any missed Event(s) in whole or in part if you are late. 

9.    Agent bookings

9.1     The following terms (a) to (c) will apply to agents purchasing our etickets for resale to onwards customers (“Onwards Customer(s)”):

(a)    Agents are only permitted to resell our etickets to Onwards Customers as part of a package comprising the group bookings rate and any additional elements such as accommodation and/or transport (“Package(s)”).

(b)    All Package(s) must offer the Onwards Customer good value for money and be sold at a price which the Onwards Customer may expect to pay for a similar package, as may be determined in our reasonable opinion. 

(c)    If an agent offers to resell or resells an eticket to an Onwards Customer in a manner not in compliance with this clause 9, we reserve the right to cancel the eticket and refund the purchase price to the agent. 

10.    Lost etickets

We will not be responsible for any etickets that are lost or deleted.  Replacement tickets will only be issued at our discretion.

11.    Our responsibility for loss or damage suffered by you

11.1    We are responsible for loss or damage you suffer that is a foreseeable result of our failure to (i) comply with these Terms or (ii) use reasonable care and skill. This includes liability for: death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors; fraud or fraudulent misrepresentation; and breach of your legal rights in relation to your etickets.

11.2    We are not liable for business losses. If you use the etickets for any commercial, business or resale purpose we will not be liable to you for any loss of business, loss of revenue, loss of profits or loss of business opportunity.

13.    Other important terms

13.1    Noone other than you and us is party to these Terms and accordingly no other person shall have any rights to enforce any of these Terms.

13.2    Each paragraph of these Terms operates separately. If any court or relevant authority decides that any of these Terms are unlawful or unenforceable, the remaining paragraphs will continue in full force and effect and will be construed accordingly.

13.3    These Terms and any dispute arising out of or in connection with them are governed by English law, and subject to the exclusive jurisdiction of the English courts.

13.4    No amendment to these Terms will be valid unless in writing and signed by both you and us.
